How to Find a Shared Mailbox in New Outlook

 

 1.   Open New Outlook:

      •   Launch New Outlook on your computer.

 2.   Ensure the Folder Pane is Visible:

      •   If the folder pane isn’t visible on the left side, you can enable it by clicking on View in the top menu and selecting Folder PaneNormal.

 3.   Scroll Through Your Folder List:

      •   In the folder pane on the left, scroll down through your list of email folders.

 4.   Find the “Shared with Me” Section:

      •   Look for a section labeled “Shared with Me” or “Shared Folders”.

 5.   Expand the “Shared with Me” Section:

      •   If the section is collapsed, click on the arrow or plus sign (+) next to “Shared with Me” to expand it.

 6.   Locate the Shared Mailbox:

      •   You will see the shared mailbox(es) that have been delegated to you listed here.

 7.   Access the Shared Mailbox:

      •   Click on the shared mailbox to view its folders such as InboxSent Items, etc.

 

Additional Notes:

 

 •  Permissions Required:

      •   Ensure that you have been granted the necessary permissions (Full AccessSend As, or Send on Behalf) to the shared mailbox by your administrator or the mailbox owner.

 •  If the Shared Mailbox Doesn’t Appear:

      •   Restart Outlook:

             •   Sometimes, restarting Outlook can refresh the folder list and display the shared mailbox.

      •   Update Folder List:

             •   Right-click on your primary email account in the folder pane and select “Update Folder List”.

      •   Check Permissions:

             •   Confirm with your administrator that you have been added correctly.

 •  Using the Shared Mailbox:

      •   You can read, reply to, and organize emails within the shared mailbox just like your personal mailbox.

      •   To send an email from the shared mailbox:

             •   Click “New Message”.

             •   Ensure the “From” field is visible. If not, click on the ellipsis (…) and select “Show From”.

             •   Click the “From” dropdown and select the shared mailbox address.

 

Now you can easily access and manage the shared mailbox by expanding the “Shared with Me” section in your folder list within New Outlook.
